TimeTraxr Privacy Policy
Effective Date:
1. Who We Are and What This Policy Covers
NORTHEAST TALENT SOLUTIONS LIMITED LIABILITY COMPANY, referred to in this policy as "NorthEast Talent Solutions," "we," "us," or "our," owns and operates TimeTraxr.
TimeTraxr supports employee scheduling, timekeeping, attendance review, reporting, and payroll preparation for NorthEast Talent Solutions employees assigned to client businesses. Access is provided as part of our staffing services.
This Privacy Policy explains how we collect, use, disclose, and retain personal information through TimeTraxr, including its administrative interface, authorized timekeeping kiosks, reports, and related operational communications.
This policy applies to employees and authorized users of client businesses. It does not describe every information-handling practice associated with recruiting, employment, benefits, or our public website. Additional notices may apply to those activities.
2. Information We Collect
Depending on your relationship with us and how you use TimeTraxr, we collect the following categories of information:
| Category | Examples |
|---|---|
| Identity and contact information | Name, employee number, email address, telephone number, and business-user account information. |
| Employment and assignment information | Job title, employment status, hire and termination dates, client-company assignments, locations, and departments. |
| Scheduling and timekeeping information | Scheduled shifts, clock-in and clock-out times, meal punches, missing or corrected punches, attendance exceptions, approvals, and related explanations. |
| Payroll-related information | Pay rates, applicable department rate information, calculated hours and overtime, payroll file numbers, and Workers Comp classification codes. |
| Account and authentication information | Login credentials, credential verification information, account permissions, and PIN- or badge-related authentication information. |
| Technical and operational information | IP addresses, browser or device information, session identifiers, kiosk identifiers, synchronization information, access records, and security or application logs. |
| Communications and support information | Information submitted when requesting assistance, reporting a timekeeping issue, or making a privacy request. |
An assigned work location or kiosk identifier can identify the workplace where a punch was recorded. This is different from tracking an employee's precise GPS location.
TimeTraxr does not currently collect GPS location, photographs, facial-recognition data, fingerprints, or other biometric identifiers for timekeeping. Employees use a PIN or badge.
Please do not submit Social Security numbers, financial account credentials, medical records, or other information that TimeTraxr does not request through free-text notes or support messages.
3. Where Information Comes From
We collect information:
- Directly from employees and authorized users.

- Review attendance, missing punches, discrepancies, and timecard corrections.
- Calculate and review hours for payroll preparation.

- Maintain security, investigate misuse, troubleshoot problems, and provide technical support.
- Maintain employment and business records, comply with legal obligations, and respond to lawful requests.
- Establish, exercise, or defend legal claims.
A schedule, calculated total, or emailed summary does not eliminate our responsibility to maintain accurate time records and pay wages required by law.
5. How We Disclose Information
We disclose personal information as necessary for the purposes described in this policy.
Authorized NorthEast Talent Solutions personnel. Personnel may access information relevant to their employment, staffing, payroll, compliance, administrative, or support responsibilities.
Authorized client-business representatives. Representatives may access employee assignment, scheduling, timekeeping, and related information within their authorized scope. Access to TimeTraxr does not authorize them to use employee information for unrelated purposes.
Service providers. We use service providers to host, maintain, secure, back up, and support TimeTraxr and to deliver operational emails. They may process information as needed to provide those services, subject to applicable agreements and our instructions.
Payroll processing. Authorized personnel may provide payroll-related information to our payroll provider for payroll processing.
Other necessary recipients. Information may be disclosed to professional advisers, governmental authorities, or other recipients when required by law or reasonably necessary to meet legal obligations, investigate security incidents, or establish, exercise, or defend legal claims.
We do not sell or rent employee personal information or share it for cross-context behavioral advertising or targeted advertising.
6. Cookies and Similar Technologies
TimeTraxr uses essential cookies and related session technologies to support login, authentication, security, and normal application functionality. These technologies help maintain sessions and protect against unauthorized requests.
TimeTraxr does not currently use advertising cookies or nonessential analytics cookies.
You can control cookies through your browser settings. Blocking or deleting essential cookies may prevent login or interfere with the service. If a browser restriction prevents you from recording your time, contact your department manager to arrange an alternative reporting method.
Cookie expiration and session duration may vary. The retention rule for employment records below does not mean that cookies remain on your device for seven years.
7. Weekly Summaries and Operational Communications
We send weekly summaries of employees' pay-period information and may send other messages relating to timekeeping, security, or service operations.
Weekly summaries are provided for review and convenience. They do not replace legally required wage statements, payroll records, or employment notices.
Keep your contact information accurate and report a summary sent to the wrong address through the privacy contact below. Report missing or incorrect punches to your department manager.
8. Retention
Our retention policy is to retain employee timekeeping and payroll records for at least seven years from the end of the calendar year in which the record was created.
We retain records longer when required by applicable law or reasonably necessary for a legal hold, investigation, dispute, or other continuing legal obligation.
The seven-year minimum does not apply to every category of information. Session data, cookies, temporary report files, technical logs, support records, and other operational information may have different retention periods based on their purposes, applicable law, and security needs.
After the applicable retention period and any continuing preservation requirement have ended, information is subject to deletion, anonymization, or other appropriate disposition under our records-management practices. This policy does not promise automatic deletion immediately upon the seventh anniversary.
9. Security and Processing Locations
We use safeguards intended to protect personal information against unauthorized access, alteration, disclosure, or loss. No internet transmission, storage system, or security measure can be guaranteed completely secure.
Our service providers' processing and support locations depend on their services and arrangements. Information may therefore be processed outside the United States.
Users should protect their account credentials, PINs, and badges and promptly report suspected unauthorized access.
10. Privacy Requests and Your Rights
Depending on applicable law and the circumstances, you may have rights to request access to personal information, obtain a copy, correct inaccurate information, request deletion, or exercise other privacy rights.
Some information must be retained to meet employment, payroll, tax, recordkeeping, security, or legal obligations. A request to delete information does not necessarily require deletion of records that we are legally permitted or required to maintain.
To submit a privacy request, contact us using the information in Section 13. Explain your relationship with NorthEast Talent Solutions and the nature of your request. Do not send your PIN, password, Social Security number, or other unnecessary sensitive information.
We may take reasonable steps to verify your identity and, where applicable, the authority of a representative acting for you. We will handle requests within the timeframes and subject to the requirements and exceptions of applicable law. Where an applicable law provides an appeal process, we will provide the relevant instructions.
We will not unlawfully discriminate or retaliate against you for exercising protected privacy rights.
California residents may have additional rights under the California Consumer Privacy Act where that law applies to our business and the information involved. Employment-related information is not categorically excluded from that law. Any applicable California-specific notice supplements this policy.
For missing or inaccurate punches and other timekeeping issues, contact your department manager. Reporting a discrepancy is not a condition of receiving wages owed.
11. Age Restrictions
TimeTraxr is intended for authorized users who are at least 18 years old. It is not directed to children.
If you believe a person under 18 has been enrolled in TimeTraxr, contact us so that we can review the situation and determine the appropriate action.
12. Changes to This Policy
We may update this policy to reflect changes in our practices, service providers, or legal obligations. The revised policy will identify its effective date.
We will provide additional notice or obtain consent where applicable law requires it. Posting an updated policy does not override restrictions on how previously collected information may lawfully be used.
